What is a Functional Capacity Assessment?

A Functional Capacity Assessment (FCA) is a comprehensive assessment completed by an Occupational Therapist to understand how your disability affects everyday life.

The assessment looks at your ability to complete daily activities, participate in your community and live as independently as possible.

Following the assessment, we prepare a detailed report outlining your current abilities, functional limitations and recommendations for future supports.

    These recommendations can assist with:

    • Increased support hours
    • Assistive Technology
    • Home Modifications
    • Capacity Building supports
    • SIL recommendations
    • Improved Daily Living supports
    • Future therapy recommendations

    Frequently Asked Questions

How long does an FCA take?

Most assessments take between 2–4 hours depending on your circumstances. They then take about 10-14 hours to write, as they require research and evidence of needs to be matched with the NDIS requirements of evidence.

Where can the assessment be completed?

We can complete assessments in your home or at our clinic, depending on your needs.

Do I need an NDIS referral?

    No.

Participants, families, support coordinators and plan managers can contact us directly.

    What happens after the assessment?

You’ll receive a detailed report with recommendations that can support future funding requests and therapy planning. From there you can notify us of anything we may need to modify before you submit the report.

    Can my support coordinator attend?

    Absolutely.

Support coordinators, family members and carers are welcome to be involved.

How long does it take to receive the report?

Understanding Functional Capacity Assessments and the NDIS

Navigating the National Disability Insurance Scheme (NDIS) can often feel overwhelming, particularly when you’re preparing for a plan review, applying for additional supports or trying to demonstrate how your disability affects your everyday life. A Functional Capacity Assessment (FCA) is one of the most valuable tools available to help explain your current abilities, identify barriers to independence and provide evidence-based recommendations that support your ongoing NDIS journey.

At Rediscover Physio, our Occupational Therapists complete comprehensive Functional Capacity Assessments for participants across the Sunshine Coast, helping individuals, families, support coordinators and plan managers better understand a participant’s functional needs and future support requirements.

What is a Functional Capacity Assessment?

A Functional Capacity Assessment is a comprehensive assessment completed by an Occupational Therapist to evaluate how a person’s disability impacts their ability to participate in everyday activities.

Unlike a standard therapy appointment, an FCA looks at your overall function rather than focusing on one injury or condition. It provides a detailed picture of how you manage daily life, what challenges you experience and what supports may help you become more independent.

The assessment considers how you complete everyday activities both now and into the future, with recommendations based on your goals, current abilities and living environment.

The completed report can then be used to support discussions with the NDIA during plan reviews or funding requests.

What Does a Functional Capacity Assessment Assess?

Every participant is unique, which means every Functional Capacity Assessment is tailored to the individual. During your assessment, your Occupational Therapist may assess areas including:

      • Personal care and self-care activities

      • Household tasks and domestic responsibilities

      • Mobility and transfers

      • Balance and falls risk

      • Community participation

      • Communication and social interaction

      • Cognitive function and executive functioning

      • Home environment and accessibility

      • Assistive technology requirements

      • Home modification needs

      • Current informal and formal supports

      • Capacity to participate in work, education or recreation

Rather than simply documenting what someone cannot do, an FCA identifies both strengths and barriers, providing practical recommendations that promote greater independence and quality of life.

Who Might Benefit From a Functional Capacity Assessment?

A Functional Capacity Assessment may be appropriate if you are:

      • Preparing for an NDIS plan review

      • Applying for your first NDIS plan

      • Requesting additional funding

      • Seeking increased support hours

      • Applying for Assistive Technology

      • Requiring Home Modifications

      • Considering Supported Independent Living (SIL)

      • Experiencing changes in your functional abilities

      • Transitioning between different support arrangements

Support coordinators and plan managers also commonly recommend Functional Capacity Assessments when updated clinical evidence is required to support funding applications.

      What Happens During an FCA?

The assessment process is designed to understand your day-to-day life in as much detail as possible.

Your Occupational Therapist will begin by discussing your medical history, current supports, goals and the challenges you experience throughout your day.

Depending on your individual circumstances, the assessment may include observation of functional tasks such as transferring, walking, preparing meals, completing household activities or accessing different parts of your home.

If appropriate, your Occupational Therapist may also assess the suitability of your current equipment or identify opportunities where Assistive Technology or Home Modifications could improve your independence.

Assessments can often be completed in your own home, allowing recommendations to be based on your actual living environment.

What Does the FCA Report Include?

Following the assessment, your Occupational Therapist prepares a detailed written report that summarises your current functional abilities and outlines recommendations for future supports.

      The report may include:

      • Background information

      • Medical history

      • Functional observations

      • Assessment findings

      • Current supports

      • Functional limitations

      • Strengths and abilities

      • Therapy recommendations

      • Assistive Technology recommendations

      • Home Modification recommendations

      • Capacity Building recommendations

      • Recommendations for future NDIS funding

Every report is individualised and based on clinical assessment, recognised Occupational Therapy frameworks and the participant’s own goals.

Why is an FCA Important for the NDIS?

The NDIS makes funding decisions based on evidence.

A Functional Capacity Assessment provides objective clinical information about how a participant’s disability impacts their daily life and why certain supports may be considered reasonable and necessary.

While an FCA does not guarantee additional funding, it provides comprehensive information that can assist participants and the NDIA when discussing future supports.

High-quality reports can help clearly explain the participant’s current situation, demonstrate changes in functional ability and identify opportunities to improve independence and participation.

Can Family Members and Support Coordinators Be Involved?

      Absolutely.

Family members, carers, support coordinators and plan managers often play an important role in providing additional information about a participant’s daily function.

With your permission, they may be involved throughout the assessment process and can also receive copies of the completed report where appropriate.

This collaborative approach helps ensure recommendations accurately reflect your current support needs and future goals.
